In accordance with the Scientific Research and Innovation Activity Act and the Regulation on the Implementation of Scientific Research Work in Accordance with the Principles of Open Science, scientific research activity providers must ensure open access to all peer-reviewed scientific publications, research data and other research results within the framework of research co-financed by public sources at least 50%.

In case of publication of an article in a subscription journal (content accessible only to subscribers), the author ensures open accessibility by storing the corresponding version of the published work in the repository. As a rule, it is about saving AAM - Author Accepted Manuscript (postprint), i.e. the author's final, peer-reviewed manuscript accepted for publication.

At the same time, it is also necessary to take into account the publisher's (journal's) policies relating to storage or archiving of publications - it is mainly a version of publication, suitable for archiving and time availability of the saved document (immediate or with a delay - embargo).

The archiving conditions can be checked on the publishers' websites (under Article Sharing, Hosting Policy, Self-archiving Policy, Open access, etc.) or on the Open policy finder service.

As a rule, we store in the repository a PDF file of the author's final, peer-reviewed manuscript accepted for publication, which the author must obtain from the publisher during the processing of the publication.

Publishers do not allow the storage of versions such as Journal Pre-proofs or Article in Press!

Some publishers require that the version of the article (postprint/preprint) that we store in the repository contain certain information: for example, a statement about the license or permission for further use, the DOI, and information about the original publisher's publication of the article. In most cases, the publisher already ensures that the Author Accepted Manuscript is marked with the required information in accordance with its storage policy, otherwise we insert it ourselves into the archived PDF or add a special title page with the required information (examples of references are below).

  • enter copyright - copy the citation from the publication itself into the box,
  • enter the embargo date - we determine the embargo date based on the actual date of publication (this is usually the date when the publication has all the bibliographic data necessary for citation: journal title, year, issue, pages) and take into account the required open access delay.

American Chemical Society (ACS)

Embargo period: 6–48 months, depending on the journal; check on Journal Embargo Finder

AAM stored in the repository must be marked with the following information (can be on an additional cover page):

  • a link to the publisher's version of the publication (VoR) with its DOI, a persistent identifier for the digital object,
  • a CC BY-NC-ND license (to indicate the conditions for reuse).

When combining with other manuscripts, for example in repositories or on other websites, Elsevier's “Hosting Policy” must also be taken into account when sharing.

 

IEEE

Embargo period: 24 months or less – the publisher allows the financier's requirements to be taken into account

IEEE policy allows authors to freely (without a license) publish versions of their articles or conference papers on their personal websites, their employer's website, or other sites (e.g., in a repository or on third-party servers operated by non-profit organizations) specified by funders for the purpose of meeting public access requirements.

Authors are free to follow the funders' open access mandates, which means they can also comply with specific requirements regarding the time delay (embargo) for access.

Each author of an article in IEEE publications receives a preprint version of their article, which includes a DOI, IEEE copyright notice, and a statement that the article has been accepted for publication.

There is no embargo for conference contributions!

AAM stored in the repository must be marked with the following statement (which may be placed on an additional cover page):

“© 20XX IEEE.  Personal use of this material is permitted. Permission from IEEE must be obtained for all other uses, in any current or future media, including reprinting/republishing this material for advertising or promotional purposes, creating new collective works, for resale or redistribution to servers or lists, or reuse of any copyrighted component of this work in other works.”

Embargo period: 12 months

AAMs stored in the repository must be marked with the following statement (which may appear on a separate cover page):

  • full bibliographic reference/citation of the publisher's version of the publication,
  • DOI, persistent identifier of the digital object,
  • URL of the publisher's version of the publication (VoR).

No CC licenses may be added to the version in the repository!

AAM, stored in the repository, may be shared under a CC BY-NC-ND license.
